POSITION TITLE:  Receptionist

FULL-TIME  Monday - Friday 9:30 AM until 6:00 PM

 

REPORTS TO:  Vice President/CFO

 

POSITION PURPOSE:
This position is primarily responsible for answering company switchboard and directing telephone calls to appropriate departments and team members.  Additional responsibilities include welcoming and assisting visitors in a professional and friendly manner, providing administrative support to management and staff, handling mail, taking messages, and dispatching deliveries. This position will also coordinate office support services, including purchasing and facility organization.  Independent judgment is required to plan, prioritize, and organize diversified workload.

 

Essential Functions and Basic Duties

  • Answer telephone system, screen and direct calls, record and deliver accurate messages

  • Provide general administrative and clerical support to designated staff members

  • Ensure operation of office equipment by completing preventive maintenance requirements, scheduling repairs, maintaining equipment inventories, and evaluating new equipment and techniques

  • Maintain supplies inventory by checking stock to determine inventory level, anticipate needed supplies, place and expedite orders for supplies, verify receipt of and properly store supplies

  • Process and distribute requisitioned supply orders from team members

  • Open, sort, and redirect office e-mails received in general mailbox

  • Open, sort, and distribute incoming correspondence, including mail, packages, and faxes

  • Maintain USPS postage system and process all outgoing mail

  • Process outgoing shipments with UPS, Fed EX, etc., ensuring the most economical vendor is used

  • Create and produce a variety of documents, reports, and records

  • Ensure reception, general office, and kitchen areas are well maintained and orderly

  • Complete special projects and miscellaneous assignments as required

 

Qualifications

Education/Certification: 

Certification in Administrative Assistant (preferred – not required)
 

Required Knowledge:    

Proficiency in Microsoft Office
 

Experience Required:     

One year of previous related experience preferred

 

Skills/Abilities:                  

Excellent oral and written communication skills

Strong organizational skills and able to work independently with little supervision

Maintain confidentiality in a professional manner
