POSITION TITLE:  Administrative Assistant -

FULL-TIME  Monday - Friday 9:30 AM until 6:00 PM

 

REPORTS TO:  Vice President/CFO

 

POSITION PURPOSE:
This position provides administrative and clerical support to management and designated staff.  In addition to administrative support, performs various duties such as answering company switchboard and directing telephone calls to appropriate departments and employees, and greets and assists visitors and customers in a professional and friendly manner. This position will also coordinate office support services, including purchasing and facilities management.  Independent judgment is required to plan, prioritize, and organize diversified workload, and recommend changes in office practices or procedures.

 

 

Essential Functions and Basic Duties

  • Provide general administrative and clerical support to designated staff members

  • Answer telephone system, screen and direct calls, record and deliver accurate messages

  • Create and produce a variety of documents, reports, and records

  • Ensure operation of office equipment by completing preventive maintenance requirements, scheduling repairs, maintaining equipment inventories, and evaluating new equipment and techniques

  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, place and expedite orders for supplies, verify receipt of and properly store supplies

  • Process and distribute requisitioned supply orders from employees

  • Open, sort, and redirect office e-mails received in general mailbox

  • Open, sort, and distribute incoming correspondence, including mail, packages, and faxes

  • Maintain the USPS postage system and process all outgoing mail

  • Process outgoing shipments with UPS, Fed EX, etc., ensuring the most economical vendor is used

  • Ensure reception, general office, and kitchen areas are well maintained

  • Complete special projects and miscellaneous assignments as required

 

 

Qualifications

Education/Certification: 

Technical School Diploma or Associate Degree Preferred but not necessary  

 

Required Knowledge:    

Proficiency in 2016 Microsoft Office Outlook, Word, Excel, and PowerPoint

 

Experience Required:     

One year of previous related experience preferred

 

Skills/Abilities:                  

Excellent oral and written communication skills

Strong organizational skills and able to work independently with little supervision

Maintain confidentiality in a professional manner
